Privacy Policy
Effective date: 2026-10-11 · ClearCFO LLC
1. Scope
This Policy describes how ClearCFO LLC collects, uses and shares information when you use our website and financial-analysis Service.
2. Information we collect
We collect account and contact details, company profile information, signup acceptance records, subscription and transaction metadata, support messages, and technical information needed to operate and secure the Service. When you connect QuickBooks or provide Excel data, we process financial information including revenue, expenses, balances, receivables, payables and customer or vendor information present in those records.
3. Excel and connected financial data
Excel workbooks are read in your browser to produce derived financial briefings. The original workbook is not sent to the AI provider through this workflow. Derived briefing information is sent to our servers for requested AI analysis. QuickBooks data is retrieved through authorized connections and processed by our servers. Connection credentials, company relationships, derived financial briefings, analysis records and operational metadata may be stored to provide synchronization, access control, alerts and reports.
4. AI processing
ClearCFO sends derived financial briefing information to OpenAI through its API to generate explanations and recommendations. This can include financial figures and customer or vendor labels contained in the briefing. Requests use store: false. This setting does not mean there is no provider retention: OpenAI may retain information under its own API policies, including security and abuse monitoring. Do not submit unnecessary sensitive information.
5. How we use information
We use information to provide requested analysis, synchronize connected accounts, authenticate users, manage subscriptions, send service emails and configured alerts, respond to support, maintain and troubleshoot the Service, prevent abuse and comply with legal obligations.
6. Providers and sharing
We use Render for hosting, Supabase for authentication and database services, Stripe for payments, OpenAI for AI processing and Resend for service email. Information is shared with these providers as needed for their functions. We may disclose information when legally required, to protect rights and security, or in a merger or business transfer subject to applicable protections. We do not sell customer financial data.
7. Payments
Stripe collects and processes payment-card details. ClearCFO stores limited customer, subscription and billing metadata; it does not directly store full card numbers or card security codes. Stripe handles information under its own privacy policy.
8. Cookies and browser storage
We use authentication cookies and browser local storage for preferences, onboarding state and cached financial briefings and AI results. Cached financial information may remain on your device until cleared. Use a trusted device and clear site data on a shared device. This Policy does not represent that all browser caches are automatically deleted on logout.
9. Retention and deletion
We retain account information, connection information, derived briefings and operational records as needed to provide the Service and meet legal, security and dispute-resolution needs. Disconnecting QuickBooks stops future authorized access but does not by itself delete all previously derived records. Contact support@theclearcfo.com to request account or data deletion. Some records may be retained where required or permitted by law, and backup copies may remain until replaced through normal backup cycles. We do not promise an automatic deletion schedule that the Service does not currently enforce.
10. Security
We use safeguards intended to protect information, including authenticated access and controls limiting access to company data. No service, transmission or storage system can be guaranteed completely secure.
11. Your choices and rights
You can update account information, disconnect QuickBooks, adjust available notification settings, cancel billing and clear browser site data. Contact support@theclearcfo.com to request access, correction, deletion or information about your data. We may verify identity and authority before acting. Rights and available remedies depend on applicable law; we will respond as required by that law.
12. Business data and children
Business customers are responsible for permissions and notices needed to provide other people’s information. The Service is for adult business users and is not directed to children under 18. Contact us if you believe a child has provided personal information.
13. International processing and changes
Our providers may process information in the United States and other countries under applicable law. We will update this Policy as practices change and provide notice of material changes as required.
